Guidelines for Oral and Poster presenters
ORAL PRESENTATIONS
All presenters:
– All presentations will be ran through Zoom;
– Slides should be setup in widescreen (16:9) format;
– Speakers are encouraged to join their session at least 10 minutes in advance to check that their presentation is present, of proper quality and runs smoothly.
Online speakers:
– will run their presentation through Zoom using the ‘share screen’ option: the Zoom links for each session will be sent out to all participants.
– should upload their presentation at least 24 hours before the session starts in ppt/pptx or pdf format (through a link that will be transmitted by the LOC). Your presentation file should be named as follows: Session_Surname_Virtual.pdf (for example: CD01_Einstein_Virtual.pdf).
In person speakers:
– must upload their presentation at least 12 hours before their session starts in ppt/pptx or pdf format through a link that will be transmitted by the LOC. Your presentation file should be named as follows: Session_Surname_InPerson.pdf or Session_Surname_InPerson.ppt (for example: CD01_Einstein_InPerson.pdf).
– are encouraged to keep a backup of their presentation with them, preferably on a USB stick, or to be ready to run the presentation from their own device.
Keep in mind:
Not all online participants have the same bandwidth. Zoom adapts to low bandwidth by degrading the video first, trying to keep the audio continuous. Therefore, if you plan to show high resolution images and/or movies not everyone might be able to see them clearly.
Suggested talk timings:
Talks allotted a 10min timeslot: 8min talk + 2min Q&A and changeover.
Talks allotted a 15min timeslot: 12min talk + 3 min Q&A and changeover.
Talks allotted 20min timeslot: 15min talk + 5min Q&A and changeover.
Talks allotted a 30min timeslot: 25min talk + 5min Q&A and changeover.
For plenary sessions that include a panel discussion, a 10min timeslot is allocated for a 10min talk and changeover, with Q&A time incorporated into the panel discussion.
POSTER PRESENTATIONS
There will be 2 poster sessions throughout the week (the final schedule will be published on ESWW2024’s webpage):
Posters I:
Display time: Tuesday 09:00 – Wednesday 13:00
Authors in attendance time: Tuesday 10:15-11:30 and 15:15-16:15, Wednesday 10:15-11:30
Posters II:
Display time: Thursday 09:00 – Friday 13:00
Authors in attendance time: Thursday 10:15-1130 and 15:15-16:15, Friday 10:15-11:30
All poster presentations (on-site and on-line) are to be displayed in the Aeminium room AND on the ESWW2024 website as part of the program, and will be made available to both in-person and online participants.
On-line poster presenters are encouraged to prepare brief video presentations that will be displayed in the Aeminium room on a screen. Questions to the on-line poster presenters may be asked though a dedicated Zoom session and/or through a chat application.
All poster presenters are advised to highlight their contact details on their posters so that they can be contacted by interested parties.
On-site posters:
Poster size: portrait A0 (84.1 x 118.9 cm) on poster boards measuring 90 x 135 cm (portrait). On-site poster presenters are also asked to prepare a presentation (a ppt/pptx or pdf document) and upload it through a link that will be communicated by the LOC (maximum size of the file is 10MB). Please name your files as follows: Session_Surname_Virtual.pdf, Session_Surname_Virtual.ppt, Session_Surname_Virtual.mov (for example: CD01_Einstein_Virtual.ppt).
All poster presenters are to take down their posters after their designated display time has ended. Posters remaining after their designated display time will be treated as disposable waste.

On-line posters:
On-line poster presenters are asked to prepare a presentation (a ppt/pptx or pdf document), and upload it through a link that will be communicated by the LOC (maximum size of the file is 10MB). They should also prepare a short, 3–5 min, video and upload it alongside with their presentation. The presentation files should be named as follows: Session_Surname_Virtual.pdf, Session_Surname_Virtual.ppt, Session_Surname_Virtual.mov (for example: CD01_Einstein_Virtual.ppt).
Lightning talk speakers:
Some convenors have allocated time for poster lightning talks in their session (please check the session plan). A single presentation comprising all lightning talks for that session timeslot will be compiled and uploaded by the convenors. If you are assigned a lightning talk, your session convenors will solicit input and you must provide this at least 48h before the session starts so that convenors can upload 24h before.
